Choose who helps run your meeting, who can present and who waits in the lobby.
Organizer: schedules the meeting. Co-organizer: helps manage it. Presenter: can share content. Attendee: participates without presenting.
Choose Meeting Helpers
- Add your helper as a required attendee and send the meeting invitation.
- Open the meeting in your Teams Calendar and select View event.
- Select Options > Roles.
- Choose your helper under Choose co-organizers.
- Select Apply or Save, whichever appears.
Co-organizers must be in AU’s organization or use a guest account in that organization. An ordinary outside participant cannot be a co-organizer.
Choose who can present
- Open Options > Roles for the meeting.
- Choose an option under Who can present.
- Choose Specific people to name invited speakers, or Only organizers and co-organizers to keep presenting limited. Avoid Everyone unless everyone should present.
- Select Apply or Save.
Let an outside speaker present
If you cannot choose an outside speaker in advance, change their role after they join.
- Select People in the meeting controls.
- Find the speaker and select More options (…) > Make a presenter.
Use Make an attendee to change them back. A presenter can share but is not a co-organizer. Anonymous presenters have fewer management permissions.
Set the Lobby
- Open Options > Meeting access for the meeting.
- Choose who can enter directly under Who can bypass the lobby. For a controlled meeting, Only organizers and co-organizers keep other participants waiting for admission.
- Choose who can admit people under Who can admit from the lobby.
- Select Apply or Save.
During the meeting, open People. Under Waiting in the lobby, select the check mark next to an expected guest. AU settings may limit your options.
