Time Entry for Salaried Exempt Employees

Accessing Time Entry

  1. Sign in to Okta at aurorauniversity.okta.com
  2. Launch the Self-Service app from the Okta dashboard.
  3. Click Employee.
  4. Click Time Entry.

Entering Your Hours

  1. Select the week to begin entering your hours.

  2. Select Apply to populate 8 hours per business day for the week. Use this feature if you do not have any Paid Time Off to record.

  3. Click the Save button to save time entered.
  4. Click Additional Time to enter Paid Time Off if applicable (i.e. Paid Time Off, Holiday Pay, Personal Day, Sick, Jury Duty, or Funeral Leave).

  5. Select the type of Paid-Time Off from the drop-down menu.
  6. Enter the applicable hours for the selected category.

  7. Review your weekly totals for accuracy.

  8. Once time entry is complete, save, and select Submit for Approval. Each weekly timecard must be submitted individually for approval. Your supervisor will receive an email notification of your submission.

Making Corrections

  1. If your supervisor already approved your time entry, contact your supervisor to request that they unapprove your timecard for the affected week before getting started. Changes can only be made before the pay period deadline. If you discover an error after the deadline has passed, email payroll@aurora.edu so the Business Office can manually correct your timecard.
  2. Click Return Timecard to Edit to unsubmit your time entry and make corrections. Click Comments to optionally provide additional details to your supervisor for review. Your supervisor will receive an email notification when you unsubmit your time entry.

  3. Use the arrow buttons to move to the next week within the pay period.
  4. Select All Time Sheets to return to the summary of the pay period and review the status of each timecard.

  5. At the summary level, the status of each week’s timecard is displayed. The image below demonstrates that the first and second week’s timecards are submitted and pending supervisor approval. The third week’s timecard has not been submitted yet by the employee.

  6. Time entry is complete once all timecards are submitted for every position and every week in the pay period.
