FERPA Student Records Release for Existing Users

Introduction

Aurora University is committed to educating students, faculty and staff about preventing identity theft. In accordance with the Family Educational Rights and Privacy Act, or FERPA, which requires colleges and universities to protect the privacy of student records and identities, Aurora University does not release certain information to anyone other than the student unless the student provides written consent or disclosure is required by law. This restriction applies to parents and spouses.

To manage permissions, students must create a FERPA code under “Self” and provide it if making a phone inquiry. A photo ID is required when requesting information in person. Follow the steps below to release student records under FERPA in Self-Service.

FERPA Student Records Release for Existing Users

  1. Sign in to Okta at aurorauniversity.okta.com and open the Self-Service app.

  2. Navigate to FERPA – Student Records Release using one of the following options:

    • Select User Options, then choose FERPA – Student Records Release from the drop-down menu.

    • Select your username in the top banner, then choose FERPA – Student Records Release from the drop-down menu.

  3. A list of people you have previously authorized to access your records displays. Verify that the information is correct. Select the pencil icon next to each name to add a PIN for each person.
  4. The PIN must be 4 digits and can be unique per relationship. If you prefer, you can enter a start date and end date for FERPA access—or leave them blank for open-ended access. Once complete, select Save.
  5. The previous relationship will end, and a new one will begin with the PIN you created.

  6. If desired, you can also end a relationship by clicking the subtract icon.
  7. Any changes you make will automatically create an end date within the previous relationship, and a new relationship will begin.
