- If you ever need to share a file with someone using OneDrive, you will want to log into OneDrive and find the file you want to share and either click on the ellipsis to bring up more options and select share or click on the box with an arrow icon to share the file.
- When you are on the share page, you will want to configure the share settings by either typing in the person's email or name, and then click on the pencil icon to the right that has a drop-down arrow, this will bring up what type of permission you want to give the person you want to share the file with, you will then want to press send.
- It is important to press Send and not Copy link, as that will only allow people that you typed their email when creating the share would have access to the file. If you chose copy link then the people you originally typed their email in the share field will have access to the file however so will anyone else that gets a copy of the link. To prevent this you will need to configure the Copy Link settings by clicking on the gear icon.
- Or to configure the file share permissions in more detail, you will want to click on the gear icon to bring up the settings for the link you will be creating. This will also allow you to set up an expiration date for the access if you would like to allow limited time access.
- The options for sharing the link are
People in Aurora University: Which means that anyone that gets the link can view/edit the file depending on permissions for the link as long as they have an AU account.
Only people with existing access: Which will reshare the file with everyone that already has access.
People you choose: Which will allow you to give the people you want permission to view / edit the file (this is similar to typing in their name and pressing send in the previous prompt)
Once you have configured the settings click on apply, and you will be brought to the previous Share page. - In this example I have chosen the People you choose option. I still did have to type the person's email however the one person that I specified is the only person that can access this file.
